TallyCalculus – Data Protection & Privacy Terms

1. Purpose

These terms describe how Tally Education and Distribution Services Private Limited (“Tally Education”, “we”, “our”) collects, uses, stores, secures, and processes data of candidates (“you”) who participate in examinations via TallyCalculus.

By using the platform or appearing for an exam, you acknowledge and consent to the processing of your data under these Terms.

2. Data Collected

2.1 Personal Information

• Full name, candidate ID, registration/enrollment number
• Contact details
• Associated partner/institution (where applicable)

2.2 Assessment Data

• Answers, attempts, and timestamps
• Scores, evaluator remarks, and result reports
• Browser/system metadata supporting exam integrity

2.3 Proctoring Data

• Video feed
• Audio feed
• Screen activity (where applicable)
• AI-based integrity indicators such as:
  • Multiple face detection
  • Suspicious background audio
  • Window/tab switching
  • Potential misconduct alerts

3. Purpose of Processing

Candidate data is processed solely for legitimate examination, operational, and compliance requirements, including:

• Conducting and managing exams
• Ensuring exam integrity through automated and/or human proctoring
• Result computation, verification, and issuance
• Investigating integrity concerns or disputes
• Fulfilling statutory or regulatory obligations

No secondary or unauthorized usage of exam data is undertaken.

4. Data Storage, Retention & Deletion

4.1 Live System Data

Exam-related operational data remains accessible for the current financial year and the immediately preceding financial year. After this period, data is transferred to a secure archive accessible only to authorized TEPL IT personnel and used strictly for compliance, investigation, or operational necessity.

4.2 Proctoring Recordings

All proctoring recordings remain accessible for 1 year after the completion of the exam. After 1 year, recordings move to a secure archive and are retained for a total of 5 years from the exam date. After 5 years, recordings and corresponding logs are permanently deleted using secure deletion methods.

4.3 Security Controls

• All data is hosted on Amazon Web Services (AWS) with encrypted storage.
• Secure HTTPS transmission is enforced.
• Strict role-based access control ensures that only authorized personnel may view or process data.
• Systems undergo periodic audits and monitoring.

5. Data Sharing & Disclosure

Candidate data may be shared only with entities essential for exam administration or as required by law, including:

• Partner institutions or authorized exam centers (restricted to data required for exam administration and reporting).
• Government, regulatory, or audit authorities when legally mandated.

All receiving entities are required to follow confidentiality, security, and data protection obligations equivalent to those of Tally Education.

External clients using TallyCalculus will have access only to:

• Reports and assessment data for the current and immediately preceding financial year
• Proctoring recordings as per the retention schedule (accessible for 1 year; archived for 5 years)

No disclosure is made beyond the purposes stated above.

6. Candidate Consent

By proceeding with the examination, you:

• Consent to the collection and processing of personal, assessment, and proctoring data as outlined.
• Acknowledge that monitoring (audio/video/screen) may occur depending on exam format.
• Understand that participation requires acceptance of these Terms.

7. Compliance & Updates

Tally Education adheres to applicable Indian data protection laws, including the Digital Personal Data Protection Act, 2023, along with recognized industry privacy and security standards.

This policy may be updated periodically to reflect operational, legal, or technological changes. Updated versions will be published on the official website and/or communicated during exam initiation.
